About The Role

The Project Administrator will support the Project Managers in planning, coordinating, monitoring, and delivering project objectives. They will primarily undertake the coordination of activities against the master project plans, ensuring schedules are managed, making logistics and materials arrangements for activities to be undertaken, and updating project documentation.   The Project Administrator will prepare reports in line with the project communication and governance plans and act as a point of contact for project team queries. In addition, the Project Administrator will manage the Office Administrator.
 
Main Roles & Responsibilities
 
  • Administer project plans (Gantt charts) ensuring logistics and diaries are arranged to allow for efficient execution of tasks and milestones
  • Schedule regular meetings in line with the project governance plan, preparing reports and dashboards and record minutes (e.g. assigned tasks and next steps)
  • Create and update workflows
  • With the Project Manager/s conduct and record risk analyses
  • Monitor issue and change requests, document and escalate as per processes
  • Prepare and provide documentation to internal teams and key stakeholders
  • Source resources such as equipment and stationery
  • Establish processes to track expenses and predict and document future costs
  • Monitor project progress and identify potential issues, resolve, or escalate as required
  • Coordinate quality controls to ensure delivered work packages meet established requirement
  • Act as the first point of contact for all project participant queries, advising and assisting project team members in the application of project procedures, disciplines and recording and reporting standards
  • Oversee management of the Office Administrator ensuring they are engaged and fulfil their job requirements.

About You

Qualifications:
  • Preferably studying or achieved PRINCE2 / Agile certified
  • Proficient in Microsoft Office package (Excel, Word, PowerPoint, Project, Vision

  • Good judgement skills, self-motivation and excellent organisational skills – ability to manage multiple deadlines for example.
  • Ability to establish priorities and meet deadlines whilst preserving the high level of accuracy needed
  • Good interpersonal, oral and written skills and ability to relate to a wide variety of people
  • Able to work unsupervised and as part of a team, also proactively seeks out work and helping others where you can
  • Ability to set expectations and deliver on what was promised
